4. How We Disclose User Data

We may disclose information only as needed for the purposes below:

4.1 Within your organization

Data entered into customer-managed workspaces may be visible to authorized administrators and users within that organization according to their configured roles and permissions.

4.2 Service providers

We may share data with trusted processors who help us host infrastructure, send communications, provide analytics, payment facilitation (where applicable), customer support tools, or security monitoring. These providers are required to protect data and use it only for contracted services.

4.3 Business transfers

If Maxpro is involved in a merger, acquisition, restructuring, or asset sale, user data may be transferred as part of that transaction, subject to appropriate confidentiality protections.

4.4 Legal and safety disclosures

We may disclose information when required by law, court order, or regulator, or when necessary to protect the rights, safety, and security of Maxpro, our customers, users, or the public.

4.5 With consent

We may share information for other purposes when you or your organization give us permission to do so.

5. How We Manage and Protect User Data

  • Access controls: Role-based permissions, authentication, and least-privilege access where applicable
  • Security measures: Technical and organizational safeguards such as encrypted connections (HTTPS/TLS), secure hosting, monitoring, and backup practices
  • Retention: We retain data only as long as needed to provide the Services, meet contractual commitments, resolve disputes, and comply with legal obligations
  • Customer control: Business customers may manage user accounts, permissions, and certain data lifecycle actions within their tenant/workspace
  • Incident response: We investigate and address suspected security incidents and notify affected parties when required

No method of transmission or storage is 100% secure. We work continuously to strengthen safeguards, but we cannot guarantee absolute security.

6. App Permissions

Depending on the Maxpro app and features enabled by your organization, the application may request device permissions such as:

  • Location — for field visits, route tracking, geo-fencing, or attendance verification
  • Camera / photos / files — for capturing delivery proof, product images, receipts, or documents
  • Network access — to sync data with Maxpro cloud services
  • Notifications — to deliver alerts, reminders, and operational updates
  • Storage — to cache or export operational documents needed offline

You can usually manage these permissions in your device settings. Disabling certain permissions may limit related app functionality.

7. Cookies and Similar Technologies

Our websites may use cookies and similar technologies to remember preferences, maintain sessions, measure performance, and improve user experience. You can control cookies through your browser settings. Blocking cookies may affect some site features.

8. Data Retention and Deletion

We retain personal and business data for as long as an account or contract remains active, plus any additional period required for backups, legal compliance, dispute resolution, or legitimate business records. When data is no longer needed, we delete or anonymize it in accordance with our retention practices and customer agreements.

If you are an employee or agent of a Maxpro customer, please contact your organization’s administrator first to request account changes or deletion within that customer’s workspace.

9. Your Rights and Choices

Subject to applicable law and your relationship with Maxpro, you may have the right to:

  • Request access to personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion or restriction of processing where legally permitted
  • Object to certain processing, including direct marketing
  • Withdraw consent where processing is based on consent
  • Request a portable copy of certain personal data

To exercise these rights, contact us at helpdesk@maxproinfotech.com. We may need to verify your identity and, where applicable, coordinate with your organization before fulfilling a request.

12. Third-Party Links and Integrations

Our Services may integrate with or link to third-party systems (for example ERP, accounting, payment, messaging, or analytics platforms). Those third parties have their own privacy practices. We encourage you to review their policies. Maxpro is not responsible for the privacy practices of independent third-party services outside our control.
